2. If you are looking for something else
This policy covers our website, our sales and marketing activity, and our recruitment process. It does not cover the data we collect in the field on behalf of our customers.
- If you took part in a research study or paid data collection session, the privacy notice and consent form you received at enrolment governs that data, not this policy. For questions, contact contact@techresearchstudies.com.
- If you believe you or your property were captured during one of our collection operations and you want to ask a question or make a request, contact us at privacy@roboticdata.com and we will route your request to the right team.
- If you are a customer using data we have delivered, the terms of your commercial agreement apply.
We keep these separate on purpose. Different data, different legal basis, different process.

4. Personal information we collect
4.1 Information you give us
When you contact us or request a conversation (contact form, "Talk to an Expert", email, phone, or a scheduled meeting): name, business email address, telephone number, company name, job title, country or region, and the content of your enquiry.
When you request data samples: name, business email address, company name, job title, and details of the datasets and use case you are interested in.
When you subscribe to updates: name and email address.
When you apply for a role with us: name, contact details, CV or resume, work history, education, right to work and visa status where relevant, references you provide, and any other information you choose to include in your application. Where a role requires it, and where local law permits, we may also process background or eligibility check results at the offer stage.
When you correspond with us: a record of the correspondence and anything you include in it.
4.2 Information we collect automatically
When you use our website we collect:
- IP address and approximate location derived from it
- Browser type, device type, operating system and screen settings
- Pages viewed, referring page, links clicked, time on page and session activity
- Date and time of access and server log data
We collect this through cookies and similar technologies. See section 6.
4.3 Information from other sources
We may receive business contact information from:
- Publicly available professional sources, including company websites and professional networking platforms
- Conferences, events and trade shows where you shared your details with us
- Referrals, where a colleague or contact has passed on your details
- Recruitment platforms and job boards, where you applied through them
4.4 What we do not collect through this website
We do not collect biometric identifiers, biometric information, precise geolocation, government identification numbers, financial account details, health information, or information about your race, religion, political opinions, sexual orientation, or trade union membership through this website.
If any of these appear in a job application or an enquiry because you chose to include them, we will not use them for any purpose beyond responding to you, and we will delete them where we can.
5. Why we use your information, and our legal basis
Where the UK GDPR or EU GDPR applies to you, we rely on the following legal bases.

Where we rely on legitimate interests, we have assessed that our interest in operating and growing a business to business company does not override your rights. You can object to this at any time using the contact details in section 15.
Where we rely on consent, you can withdraw it at any time. Withdrawing consent does not affect anything we did before you withdrew it.
6. Cookies and similar technologies
We use cookies and similar technologies to run the website, understand usage, and support marketing.
We use CookieScript to manage your choices. When you first arrive you can accept, reject, or set your preferences by category. You can change your choice at any time through the cookie settings link in our footer.
Non-essential cookies are not set until you consent to them.

Most browsers also let you block or delete cookies directly. Blocking strictly necessary cookies may stop parts of the site working.
7. Analytics and advertising partners
Some of the technologies above transmit identifiers, such as your IP address, cookie ID and details of the pages you viewed, to the companies that provide them:
- Google (Google Analytics)
- LinkedIn (Insight Tag)
- Meta (Meta Pixel)
- HubSpot (tracking code and forms)
These companies may use that information to measure our campaigns and to show you advertising elsewhere. Under some US state privacy laws, this activity can be treated as "sharing" personal information for cross-context behavioural advertising or as "targeted advertising", even though no money changes hands.
We do not sell your personal information, and we do not receive payment for it. We only allow advertising and analytics technologies to operate where you have consented through our cookie banner, and you can withdraw that consent at any time through the cookie settings link in our footer.
Each of these providers handles the data it receives under its own privacy policy, and you can review and control your settings directly with them.
8. Who we share your information with
We share personal information with:
- Service providers who work on our behalf. These include HubSpot (CRM, forms, email, hosting and scheduling), Paycor Recruiting (applicant tracking), Google, LinkedIn and Meta (analytics and advertising, subject to your cookie choices), and CookieScript (consent management). They are permitted to use the information only to provide the service to us.
- Our group companies and offices, including our teams in the United States, United Kingdom, Portugal and Mexico, where they need the information to respond to you or manage your application.
- Professional advisers, such as lawyers, auditors and insurers, where necessary.
- Regulators, law enforcement and courts, where we are legally required to do so or need to establish, exercise or defend legal claims.
- An acquirer or successor, if we are involved in a merger, acquisition, financing or sale of assets. We will tell you if your information becomes subject to a different privacy policy.
We do not sell your personal information, and we do not disclose it to third parties for their own independent marketing purposes.
Text messaging (SMS)
If you give us a mobile number and opt in to receive text messages from us, we handle that information separately from everything described above.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text message opt-in data and consent are never shared with anyone, and they are specifically excluded from the analytics and advertising sharing described in sections 7 and 13.
We use your mobile number only to send the messages you asked to receive, for example study invitations and updates, appointment or session reminders, and related notifications. Any provider that helps us deliver these messages acts only on our instructions and cannot use your number for its own purposes. Message and data rates may apply, message frequency varies, and you can opt out at any time by replying STOP, or by contacting us at privacy@roboticdata.com.
9. International transfers
We are based in the United States, and our offices and service providers are located in several countries. If you are in the United Kingdom or the European Economic Area, your personal information will be transferred outside your country.
Where we make those transfers we rely on an appropriate safeguard, which will normally be:
- the European Commission's Standard Contractual Clauses, with the UK International Data Transfer Addendum where the UK GDPR applies; or
- the EU-US Data Privacy Framework and the UK Extension, where the receiving organisation is certified under it; or
- an adequacy decision covering the destination country.

10. How long we keep your information
We keep personal information only for as long as we need it for the purpose we collected it, and then delete it or anonymise it.

You can unsubscribe from marketing at any time using the unsubscribe link in any email we send, or by emailing privacy@roboticdata.com.
11. How we protect your information
We maintain administrative, technical and physical safeguards designed to protect personal information against loss, misuse and unauthorised access, disclosure, alteration or destruction. These include encryption in transit, access controls limiting internal access to those who need it, and supplier due diligence.
No method of transmission or storage is completely secure. If we become aware of a breach affecting your personal information, we will notify you and the relevant regulator where the law requires it.
12. Your rights in the United Kingdom and the European Economic Area
If the UK GDPR or EU GDPR applies to you, you have the right to:
- Access the personal information we hold about you, and receive a copy of it
- Correct information that is inaccurate or incomplete
- Delete your information, in the circumstances the law provides for
- Restrict how we use your information while a query is resolved
- Object to processing based on our legitimate interests, and to object to direct marketing at any time and for any reason
- Portability, meaning you can receive certain information in a machine readable format and ask us to transmit it to another organisation
- Withdraw consent at any time, where we rely on consent
- Complain to a supervisory authority
To exercise any of these rights, email privacy@roboticdata.com. We will respond within one month. We may ask you for information to verify your identity before we act. We do not charge a fee unless a request is manifestly unfounded or excessive.
If you are unhappy with how we have handled your information you can complain to your local data protection authority. In the United Kingdom that is the Information Commissioner's Office (ico.org.uk). In the EEA it is the supervisory authority in your country of residence or workplace. We would appreciate the chance to address your concern first.
13. Your rights in the United States
If you are a resident of California, Colorado, Connecticut, Virginia, Texas or another state with a comprehensive privacy law, you have the right to:
- Know what personal information we have collected about you, the categories of sources, the purposes we use it for, and the categories of third parties we disclose it to
- Access a copy of that information
- Correct inaccurate personal information
- Delete your personal information, subject to the exceptions the law allows
- Opt out of the sale of personal information, of sharing for cross-context behavioural advertising, and of targeted advertising
- Limit the use of sensitive personal information
- Appeal a decision we make about your request
- Be free from discrimination for exercising any of these rights
Sale and sharing. We do not sell personal information, and we have not done so in the preceding twelve months. We do not knowingly sell or share the personal information of anyone under 16. To the extent that our use of advertising cookies is treated as sharing or targeted advertising under your state's law, you can opt out at any time using the cookie settings link in our footer, and we will honour Global Privacy Control signals sent by your browser.
Sensitive personal information. We do not collect sensitive personal information through this website, and we do not use or disclose it for purposes that require the right to limit.
Categories collected. In the preceding twelve months we have collected the following categories of personal information as defined by the California Consumer Privacy Act: identifiers; commercial information; internet or other electronic network activity information; professional or employment related information; education information (from job applicants); and inferences drawn from the above. We collect these from you directly, from your device, and from the sources listed in section 4.3, for the purposes listed in section 5, and we disclose them to the categories of recipients listed in section 8.
How to exercise your rights. Email privacy@roboticdata.com, or write to us at the address in section 15. We will verify your request using the information we already hold. You may use an authorised agent, in which case we will ask for written proof of their authority. We will respond within 45 days, and will tell you if we need a further 45 days. If we decline your request you may appeal by replying to our response, and we will respond to the appeal within the timeframe your state's law requires.
14. Biometric information
We do not collect, capture, store, use or disclose biometric identifiers or biometric information through this website, and we do not use facial recognition, voiceprint, fingerprint or retina scanning technology on visitors to this site.
Our field data collection operations are governed by separate participant consent documentation and are outside the scope of this policy. See section 2.
15. Other things you should know
Children. This website is intended for business users and is not directed at anyone under 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us and we will delete it.
Links to other sites. Our website links to third party sites, including our social media profiles and job listings hosted by our recruitment platform. We are not responsible for their privacy practices, and we encourage you to read their policies.
Automated decision making. We do not make decisions about you that produce legal or similarly significant effects using automated processing alone.
Changes to this policy. We may update this policy from time to time. We will change the date at the top of this page, and where the changes are significant we will tell you by email or by a notice on the website.
